Adding, Viewing, Updating and Deleting Verification Task Attachments

During the process of adding new verification tasks to the provider’s EPR record the specialist can add attachments to each open verification task or to the entire verification log for the provider based on the following steps:

 

For each of these tasks, we will start with an "In Progress Item" from the "Perform Verification Task" list page.

 

Adding a General Attachments to the Verification Log

 

  1. From the Perform Verification Task Page Click "Attachments" at the top of the page.

  1. Once the General Attachments List Page opens, click the or button to enter a new general attachment to the verification log.

  1. Enter an "Attachment Description", "Attach File", and choose "Attachment Source".  Click "Upload File" to save the general attachment.

  1. The number of general attachments entered is displayed at the top of the Perform Verification Task page.

  1. Using the "Attachments" icon, follow same steps below to "View an Attachment", "Rename an Attachment", and "Delete an Existing Attachment".

 

Adding Attachments to a Verification Task

1.  From the "Select Action" drop down box for a verification item (as shown above) select the "Add Attachments" option to display the "Special Attachments List" window.

2.  Choose "Add As Task" (and "Automatically Close Task" if desired).  The "Add As Task" checkbox automatically creates a task at the same time the file or screen capture is attached. The task name is the name given to the document when uploading.

The "Automatically Close Task" checkbox, marks the item as "Complete", closing the task.

 

 

Attach Existing File

  1. Select the button to open the “Add Attachment (General)” window.

 

  1. Enter a description for the attachment.

  2. Select the Browse button to open the “Choose File” window.

 

  1. Navigate to the file to be attached and select the file and then select the button to return to the “Add Attachment (General)” window.

 

  1. Choose the "Attachment Source" type of Primary Source Verification (PSV), Source Document (SD), or Other.

  2. Select the  button to upload the provider’s open task to the server and return to the “Special Attachments List” page. The attachment is listed with next to it.  The Attachment Source is also noted (i.e. PSV), along with the date and time created, and if the attached file was marked with "Add As Task".  Note that the time is given on Central Standard Time.

 

  1. After the attachment has been loaded, it will be noted in Perform Verification Task page.

 

 

 

Scanning a New File as an Attachment

  1. From the "Select Action" drop down box for a verification item (as shown below) select the "Add Attachments" option to display the "Special Attachments List" window.

  1. From the “Special Attachments List” window (as shown above) select the button to open the "Scan New Attachment” window (also shown below):

 

 

The user may be prompted to install a “Medkinetics TwainX Software Package”.  If prompted select “Yes” to install.  After installing the software the “Scan New Attachment” window will appear as shown below.

 

 

  1. Follow the steps for scanning as detailed on the screen (shown above).

  2. Select the button to complete the attachment.

 

Viewing an Attachment

  1. Bring up the “Perform Verification Task” page for a provider.

 

  1. Select the  link to open the “Special Attachments List” page.
     

  1. Select the icon next to the attachment description to open the attachment in a view window.

Renaming an Existing Attachment

 

  1. Bring up the “Perform Verification Task” page for a provider.

 

  1. Select the  link to open the “Special Attachments List” page.
     

  1. Select the to rename the Attachment Description or change the Attachment Source.  Click when finished.

 

Deleting an Existing Attachment

 

  1. Bring up the “Perform Verification Task” page for a provider.

  1. Select the  link to open the “Special Attachments List” page.
     


 
  1. Select the to edit and then select the button to delete the attachment.

 

Attachments that are created as "Tasks" in the Verification Log can NOT be deleted!
